Jen Dobosz, President, called the meeting to order at 5:01 PM. Mark Cellar, Director, Leigh Wright, Vice President, Gloria Kim, Secretary, and Valeri Boswell, Treasurer, were present.

The agenda was presented and accepted.

  • Treasurer’s Report - Valeri Boswell

Balance as of today: $10,644.52

Balance after peaches: $7,424.52

  • Final Band Believer Numbers - Joan

Jen gave Joan’s update: 40 remaining subscriptions (originally 46 signed up). ~$5,000 per year if the monthly subscriptions keep going.

We will need to discuss what the boosters will be using the money for. If we want to it for specific things in the future, we should work with Joan to have the subpages set up so that we can transparently raise money toward specific uses.

There were two students who had money donated specifically to them by family members to go toward their band fees, not to the boosters. We will need to write checks to the school to ensure that money is used as intended.

  • Peaches Wrap Up

$5,388.00 raised for peaches (have not mailed the farm their check yet)

$2,200 of the total will be credited back to the kids. Valeri will write checks to CV to apply to each of their account/band fees.

  • Gear Shop - Gloria and Denise

Gloria reached out to Rocky Mountain Swag, but was having a hard time getting a hold of Dave to confirm the windows and delivery dates. Since he previously indicated they needed 2-3 weeks to process orders, Gloria post on the Band app that the first window for pick up prior to the 9/28 competition, will be closed on Sunday 9/8.

We will plan to keep the shop open for the remainder of September so that parents who didn’t order in the first window have a chance to see what the items look like on others and can order before it closes for the school year.

May want to consider a different vendor next year due to the difficulties in communication.

Jen to ask Max & Holly what items they want from the gear shop/what size.

  • Marching Band Food - Leigh

    • List of those who have paid?

Valeri indicated that the majority of the marching band had not yet sent in their $35 for food costs.

Mark agrees that we should send out an email to the families that have not yet sent in their $35 per marching band kid to help with food costs. Jen and Valeri to put together an email to send out to the families that still need to pay.

  • Marching Band Volunteer Needs

    • Showcase concessions, etc.

We need parent volunteers for the showcase on 9/11. Mark got two parents who reached out and he sent them to the SignUp Genius to sign up

Showcase details: Mark updated the Presto event with all the details. Kids should arrive at 3:40 PM, showtime at 5:20 PM. Leigh will be putting together snack bags for each kid.

Note: food that is prepared is not for parents, just for students. If there are some foods where extra food is available, it will be provided, but parent volunteers should know and plan on having to supply their own meals/snacks.

  • Other Business

    • Ice Machine Donation

Leigh had a parent who reached out with the donation of a commercial ice machine. Since we need both a water line and floor drainage, we cannot accept the donation to keep at the school.

  • First Football Game - punch cards, senior banners, etc.

Punch Cards - Denise wants to pick up the punch cards from Mark this week. He confirmed that they are all printed and while there is a typo on the cards, they are $35 each. Denise would also like QR codes of the band booster venmo printed out since they don’t want to carry cash. While they will not carry it, they are willing to collect it. No credit card payments allowed.

Jen & Wade - Co-running PIT

The amount of parents who have signed up to volunteer should be more than doable, especially with the kids moving the props during the game. The parents can primarily help with moving equipment before and after games. The stages are the big items.

Colorguard Uniform Fittings - Jen & Meagan will be coming in on Friday to fit the color guard for their uniforms.

Band Wishlist - Mark added new items to the band wishlist. It was recommended that he add a list to the amazon wishlist page to his email signature for more visibility.

Senior Banners - No senior parents have yet stepped up to hang up senior banners. If no parents set up, they will not be put up this year.

  • Gala

Lisa recommended that we view a location offsite

Historically, we have had issues with food vendors that would not allow the students to serve food.

If we like any offsite venues, we will need to make sure that we look into all costs, availability since we already have a date set, etc.

Mark is not willing to entertain the introduction of alcohol to the gala while the kids are performing. If we want alcohol, then we would need to hire an outside band to play while drinks are being served, which would increase the cost of getting an outside venue.

We will look to start gala committee meetings earlier this week, first meet to be in November

Theme: Black & White. (something simple but classy)

Leigh will be heading up the gala committee this year.

  • Crave - Spirit Night (9/24)

Jen will reach out to Max and see if Max & Holly are interested in doing a Coldstone’s fundraiser together to help run funds for color guard and percussion.
